Configuring a Yealink handset with Cloud Voice

Overview: Quickly and simply configure a new Yealink handset to register itself with Cloud Voice and auto-provision. If you are part of the IT admin team, we also show how to "add" the device to Cloud Voice prior to actual provisioning.

In this article we will use screenshots from a Yealink W53P, which is a cordless handset; wired desk phones (such as T57) are almost identical. Compatible handsets are listed at https://internetservices.freshdesk.com/en/support/solutions/articles/5000825025-compatible-handsets-for-cloud-voice


Pre-check: if recycling a phone, ensure latest firmware first

If you are recycling a renewed phone, perhaps used with an alternate VoIP provider, ensure that the phone is running that latest firmware to ensure that the following steps go smoothly. Yealink firmware can be found here: https://support.yealink.com/en/portal/home?categoryId=44 (select model, then "firmware" tab, download latest *.rom file and upload to phone)


Step 1: add the device to the Cloud Voice admin portal

If you are IT admin, see section at bottom of article. If you are a user that has been given this phone you can safely assume that this step has already been done for you, and you can proceed straight to step 2.


Step 2: connect phone cables

Plug in base station to broadband router via Ethernet cable (for desk phones there will be several Ethernet ports - use the one marked "Internet"). Power on. Plug in and charge handset. It's that simple. If you've down that, proceed to step 3...


Check your phone model by comparing the the Yealink website: https://www.yealink.com/products_list_8.html
Click either T5, T4 or DECT (wireless) to find verify your model

Once connected and powered on, proceed to step 3







Step 3: Get IP address of phone and log in

On most Yealink desk phones clicking the OK button will show the IP address on the screen. For wireless phones press OK > Status > Base > [Note IP address]. Here's an example from the W53P model:
(If the DECT handset has not yet been registered with the base, hold the button on base until light  flashes, then on handset go to OK > Settings > Register > use pin 0000)

Note the "IPv4" address in this example is 192.168.3.24




Enter the IP address in your browser, and log into the GUI (username: admin, password: admin)


Step 4: Auto-provision from cloud

TIP: If you are recycling an older device, ensure you have the recent firmware - see https://support.yealink.com/en/portal/home

Navigate to Settings > Auto provision

Into the field "Server URL" enter: https://dm.yourwhc.co.uk/dms/phone

Click the button "Confirm", then "Auto Provision Now" (at bottom of page)

Phone will take around 5 minutes to provision, it will reboot automatically several times

  • Automatic registration in the cloud
  • Automatic firmware download
  • Automatic association with your site
  • Automatic  configuration for your user settings, including your dedicated phone number

Congratulations! Your new handset is now ready to use.

(Note for IT support: ensure user's broadband router does not have "SIP ALG" or "SIP helper" enabled as it will cause one way audio or for calls to cut off. Turn OFF "SIP ALG" or "SIP helper".)





IT Admin: add the device to the Cloud Voice admin portal

Although the MAC address is printed on the base label, you can also obtain it via the GUI on the status page:




Navigate to Sites >[Select a site] > Device Management > Devices [Button] > Add



Enter the details for the device:

  • Device ID: choose a descriptive name
  • Device Type: choose the exact model (for wireless DECT handsets choose the base station model)
    • "W60": this is the standard base station support 8 handsets (8 lines)
    • "W80": this is the multi-cell system capable of meshing up to 30 bases and 100 handsets
  • MAC Address: enter the MAC address in upper case, no colons or spaces
  • Click "Save"




Now navigate to Employees (aka. "users", or "extensions") > Devices > Create New Shared Call Appearance [click Existing Device]






















Choose from a list of existing device(s) added in the previous steps, and click Save. The handset can now be auto provisioned. Return to Step 2 above.



IT Admin tip 1: How do I access the GUI after provisioning?

Once provisioned the base station admin password will be changed automatically, to prevent hacking attempts. You may genuinely need to log into the GUI in order to assign handsets; for example a user may want more than one handset associated with a single account. Feel free to contact us and ask for the appropriate admin password - be sure to make the MAC address available so that we can verify the device.




IT Admin tip 2: How do I add a new user to an existing base station?

If you purchased another phone (each W60 base can have 8 different calls at the same time; 8 "lines") and want to add another user account, please ask us to add the new user as an "additional line", and let us know the device MAC address that you want the new user added to, the "Existing device". Once added the new user account is added to the base instantly, you will not need to reboot the base station.



IT Admin tip 3: How do I factory reset a Yealink desk phone where I do not know the password?

If you press and hold the "OK" key for 5 seconds, the device should ask you if you want to restore to factory settings
